Modding Naruto Wishlist [03 Oct 2006|10:35pm]

[Posts]

The rules post will be the same as last year, but will be edited soon. The santa-nin list is up, so I'll edit that one to add.

We have two gift lists (when it comes to that):
a master list which is by pairing and description (example from last year);
and the memories.

The memories will basically be added each time we post a gift. So for example, all art will be tagged art and ditto for fiction. We will have a couple new memory tags for icons, layouts etc. The new tag for "2006 Gifts" will be made also.

You can choose which one you'd like to be in charge of, just let me know :)

[Advertising]

You can make your own banners if you like, or I'll upload some of mine and you can post them wherever you like.

[Sign-ups]

Sign-ups started Tuesday, so we'll get emails at naruto.wishlist@gmail.com. As we receive them we'll be doing two things:

Adding them to excel for organisation of who makes what (example);

and making a master list of all our santa-nin with all their information. This one is to just record who we are making santa-nin and also for when we email out assignments, we can easily just copy their information from there. This year we'll just search gmail for their sign-up forms and then send them in the generic email.

[Basic Timeline of Naruto Wishlist modding]

Oct 3rd to Oct 10th
I have a pretty complicated looking, but fairly organised sorting list, there's even a legend, lol. Everything will be colour coded by pairing, squicks, what they can make, what they want etc.

There is also the so called master list, which is basically all the sign-ups that have been checked and approved. When I say checked, I mean checking that the people have at least mediocre art and fanfic making ability, they have read the rules and filled out the form correctly. They are listed in alphabetical order.

I can actually do both of the above, and then when I'm finished, if you can help me sort who makes what etc. that would be awesome :D

Oct 10th to Oct 22nd
The next time consuming part will be mailing out assignments, which is a lot of copying and pasting: Template.

We're going to get a lot of requests for switches which is going to be a huge hassle. First we'll wait until all the requests are in, and then try switch assignments for people. We're also going to have drop outs.

As soon as there's a drop out, we have to try find a back-up santa-nin because back-ups are going to need extra time which extends the waiting time for the assignee, which generally really blows. I usually ask people who volunteered to be back-up, then if to no avail, my friends (like velutlunas who last year wrote two extra gifts) and as a dead last resort, I write the gift myself and hope to god I please the assignee.

Oct 22nd to Nov 22nd
After that will be checking and modifying santa-nin questions to their assignees. We have to try do this every day since some of the santa-nin actually depend on their questions being answered soon.

After that will be chasing people down for submissions. No joking, I chased a lot of people. I wish the world was simple enough that people could give me a week's notice that they can't finish their gift, but usually they either a) delete their journal and ignore my emails, b) ignore any sort of contact, or c) finally tell me at the latest time possible. It's not pleasant, but it happens. It gets really disorganised at this point because it's so many emails to sort through daily: extensions, withdrawals, back-ups, submissions and general questions. This is why I love gmail and their nifty labelling...thingamajig.

Nov 22nd to December 1st, or whenever we reach at least 90 gifts
Then receiving all the submissions. That's 100 emails, plus more if we have to juggle gifts due to people sporadically dropping out.

Then we have to organise all the gifts. 80% of the people do not use the header template, label their gift or even bother with tags. Last year I decided if they couldn't tag their italics and bolds etc, then it wasn't necessary to the fic. If the fic is so abhorrently bad that we can't accept it, we have to request a new submission. We;ll play this by ear because we can't ask twenty people to redo their gift, it'd get pretty crazy.

We then have to post all the gifts depending on how many we have received. If we received all (thank god) we can post five a day etc. We also have to continuously edit the user info about the gifts, the master gift lists, and the memories. It'll be easier if we did this as we posted the gifts. Sometimes there'll be gaps between posting for when we don't have anymore gifts. I was hoping to leave the posting to the community members, but I took a vote last year and majority voted for anonymity until the end. I guess it maintains order as well.

And then we relax for the new year...hopefully ^^;; I'm so sorry that I jumped on your offer to help. If it looks rough, you can retract the offer :)
